Activities Coordinator vacancy

Expression of Interest for the recruitment of an Activities Coordinator (contract for service) on a casual basis

Right to Smile Foundation (R2S) is seeking to identify a person to be engaged as an Activities Coordinator, to be part of the Right to Smile Admin and Youth Group team.

The Activities Coordinator will be responsible for the operational planning, coordinating and delivery of various activities and events for the Right 2 Smile (R2S) volunteers and youth. These activities will take place outside of the regular youth group sessions.

R2S is a Maltese voluntary organisation committed to creating opportunities for young people and communities through local and international projects, volunteering and community engagement.  The Activities Coordinator plays an important role in ensuring that these initiatives are well planned, effectively coordinated and aligned with the objectives and ethos of R2S, while strengthening volunteer engagement and contributing to a positive impact within the community.

The responsibilities include:

Plan and develop activities: Work closely with the Youth Group Coordinator to identify, plan and develop engaging activities for young people, Youth Mentors and volunteers, ensuring they support the aims and objectives of the R2S Youth Group and Volunteer Programme.

Coordinate and organise activities: Develop and maintain an activities programme, which is over and above the weekly youth group programme, coordinating schedules, venues, resources, volunteers and R2S team members to ensure activities are well planned and delivered effectively. Maintain and oversee Youth Group resources and merchandise.

Deliver and supervise activities: Support and oversee activities and events, providing guidance to volunteers and addressing any issues that arise. Work with the R2S team to promote the safety, wellbeing and positive participation of all involved. Represent R2S at relevant community events and sectoral forums.

Evaluate and report: Gather feedback and assess the effectiveness and impact of activities, identifying opportunities for improvement. Contribute to reports for the R2S Board, funders and other stakeholders where required.

Support project management: Contribute to the development, coordination and implementation of R2S-funded projects, including project planning, team coordination, monitoring progress, meeting objectives and deadlines, and ensuring project deliverables are achieved. Assist with funding applications, project documentation, reporting and financial reconciliations.

Work collaboratively across R2S: Liaise with other R2S teams, particularly Fundraising, to ensure programmes and activities are aligned. Support R2S events and promotional activities, and assist volunteers undertaking overseas placements with fundraising and financial reconciliations, in line with the organisation’s ethos and requirements.

The Activities Coordinator plays a key role in supporting the effective delivery of R2S programmes, activities and funded projects. The role combines activity planning, volunteer coordination, project management and administrative responsibilities, helping to ensure that initiatives are well organised, aligned with the objectives and ethos of R2S, and responsive to the needs of young people, volunteers and the communities R2S serves.

The chosen candidate:

  • Will have a one-year contract, with a six-month probation period. The contract will be renewed upon agreement between both parties;
  • Will be expected to work up to 5 hours per week;
  • The candidate must be able to work flexible hours, including weekends. Most of the work can be done remotely, however will be expected to be present during the activities (which might include activities abroad, such as Erasmus+ activities).

The chosen candidate preferably has a background in youth work as well as experience in project writing, management and event coordination. Experience with young people within a voluntary organisation will be considered an asset.

Hourly Rate: €10
